Computer Shutdown and Security Policy 

1.0 Purpose  

The purpose of this policy is to provide guidance for computer security for Prosperio Group computers, electronic devices and workstations (“Computers”) in order to ensure the security of information on any Computers and information the Computer may have access to.   

2.0 Scope  

This policy applies to all Prosperio Group employees, contractors, and agents. 

3.0 Policy  

Appropriate measures must be taken when using Computers to ensure the confidentiality, integrity and availability of sensitive information, including personally identifiable information (“PII”) and that access to sensitive information is restricted to authorized users.   

3.1 All Prosperio Group employees and contractors shall consider the sensitivity of the information, including PII that may be accessed by any Computer and minimize the possibility of unauthorized access. 

3.2 Prosperio Group will implement physical and technical safeguards for all Computers that access electronic PII and other sensitive data and information to restrict access to authorized users.  

3.3 Appropriate measures include:  

  • Restricting physical access to Computers to only authorized personnel. 

  • Securing Computers (screen lock or logout) prior to leaving area to prevent unauthorized access. 

  • Enabling a password-protected screen saver with a short timeout period (no greater than 5 minutes) to ensure that Computers that were left unsecured will be protected. 

  • Complying with all applicable password policies and procedures.  

  • Never installing unauthorized software on Computers. 

  • Storing all sensitive information, including PII as instructed by the Managing Principal (currently on Dropbox).   

  • Keeping food and drink away from Computers in order to avoid accidental spills. 

  • Securing Computers that contain sensitive information or can access sensitive information by using cable locks or locking laptops up in drawers or cabinets.  

  • Using encryption, as directed by the Managing Principal of Prosperio Group. 

  • Complying with the Anti-Virus policy, including that anti-virus is installed on every Computer. 

  • Ensuring Computers are logged off at the end of every workday. 

  • If wireless network access is used by any Computer, ensure access is via a secure connection. 

4.0 Enforcement  

Any employee found to have violated this policy may be subject to disciplinary action, up to and including termination of employment.  

5.0 Definitions  

Computers include: laptops, desktops, PDAs, desktop computers, smart phones, and all other electronic equipment containing or accessing sensitive information or PII on any Prosperio Group network. 

Personally identifiable Information (“PII”) include: name, social security number, date and place of birth, mother’s maiden name, or biometric records; and any other information that is linked or linkable to an individual, such as medical, educational, financial, and employment information.
